The question no spreadsheet answers in time

Did this project make you money, or cost you money?

The answer sits in the gap between the hours you sold and the hours actually worked. In a spreadsheet it only shows up at closing — when nothing can be fixed. Here it is recalculated with every entry, stage by stage.

Project screen: 44 hours budgeted, 52 hours actually worked, 118 % consumed, budget exceeded. The stage breakdown shows the permit stage at 288 % of its budget, concept design at 0 % and construction at 97 %.

The total never shows where it leaks: eight hours were sold for the permit stage, twenty-three were worked. That is the line you want to see in March, not in December.

The calculation ArchiTek redoes with every entry

The exact point where a project tips

A job sold for €6,200 in fees, budgeted at 44 hours. Drag the hours actually worked and watch the margin.

Project 2026-011 · Office extensionFees sold €6,200 · budget 44 h · hourly cost €85
Project margin
€2,120

Budget exceeded by 4 h, but the project is still profitable. This is the moment to act.

Past 73 hours, every hour worked is a gift to the client. This is precisely the calculation a practice never runs mid-project, because it means cross-checking the proposal, the timesheets and the hourly rates. Here it is already done.

What a practice does, in the order it does it

Price it right, see it early, get paid without chasing

Before — sell

A fee proposal on the scale, in a few clicks

Fees are calculated on the Order of Architects' scale: building class, new build or renovation, private or public contract.

  • Several options in one proposal, under your own names
  • Hours per task in the proposal: the amount follows, and so does the schedule
  • A reusable catalogue of services
  • PDF ready to send, with a signature box for the client
During — see

Hours attached to the project stage

Every hour logged attaches to a stage — concept, permit, construction — rather than to the project as one block.

  • Consumption per stage, updated live
  • An alert as soon as a stage eats its budget
  • Workload spread week by week, adjustable by hand
  • Quotes still in the pipeline, simulated: you see when to take on a new project
After — collect

The invoice goes out, so does the reminder

Invoices, deposits and credit notes, sent by email or over the Peppol network, compliant with the Belgian mandate.

  • Overdue invoices flagged, reminder in one click
  • Incoming invoices imported and filed
  • Accounting export in one click
Invoicing screen: €52,977.77 outstanding across three documents, one invoice €3,025 overdue, and the list of sent invoices with their paid or sent status.

Structured e-invoicing is mandatory between businesses

A PDF sent by email is no longer enough: invoices must travel in a structured format over the Peppol network. ArchiTek sends and receives them.

Your existing data comes with you

Nobody retypes ten years of projects. Two routes: the assistant reads your Excel or CSV files, recognises your columns and has you approve them line by line — nothing is written without your say-so. Or you hand the migration over: free assessment of your files, fixed price from €500.

Frequently asked questions

Everything we get asked before signing up.

Is the price per user?

Essentiel (€29/month) covers 1 user. Pro is billed €39 per collaborator. Cabinet is a €189/month flat plan with 5 seats included (then €19/seat) — the best deal from 4-5 people. Annual billing gets you 2 months free. All prices exclude VAT.

Does ArchiTek handle e-invoicing (Peppol)?

Yes. Since 1 January 2026, structured e-invoicing has been mandatory between businesses in Belgium. ArchiTek issues your invoices and credit notes (PDF + e-mail), sends them through the Peppol network and receives your supplier invoices — no extra software needed. Every plan includes a monthly document quota (10, 30 or 100 depending on the plan), extendable with packs, and an accounting export (PDF + UBL + CSV) is ready for your accountant. Outside Belgium: invoices to Luxembourg can also go through the Peppol network; elsewhere, they go out as PDFs by email. French e-invoicing is not offered yet.

Can I bring in my existing projects?

Yes. An AI-assisted import wizard (Excel, CSV, XML) migrates your clients, projects and proposals — you validate every line before anything is written. With the Cabinet plan, migration is guided by our team. And for complex migrations, we can do the import for you: free assessment, fixed quote from €500.

Is my data safe?

Your data is hosted in Zurich, Switzerland, a country whose level of data protection is recognised by the European Union, isolated per firm, and each collaborator's access is finely controlled (11 rights). Visit statistics are anonymous and cookie-free. Everything is GDPR compliant.

Is there a commitment?

No: the subscription is commitment-free and can be cancelled at any time (effective at the end of the period). The 14-day trial requires no credit card.

Does ArchiTek work outside Belgium?

Yes. The estimator follows Belgian practice (Order of Architects fee scale), but fees, VAT and the catalogue are fully configurable — and the interface comes in 7 languages.

What do my clients see in the portal?

Only what you share: documents, milestones and the progress of their project. Access is by invitation, via a secure link.
